Job Description

*This is a hybrid role which will require you to be on site at our location in Mettawa, IL 3 days/week*

The Pipeline Commercialization Strategy (PCS) P2P and Ad Board Consultancy Operations Manager, Oncology Business Unit Operations will be responsible for the iHub and service contract management for PCS Healthcare Provider (HCP) engagements. The successful candidate will closely collaborate with the internal AbbVie Partners in PCS, CCG, Office of Ethics and Compliance (OEC), Legal, BSG, Veeva Team, and Procurement along with external content and logistics vendors.

We are looking for a Operations Manager (PM) to work on Meeting Planning and Execution across PCS, including:

  1. External Expert (EE) Engagement initiatives/Meetings
  2. Select internal meetings at a disease level where Global Commercial Leads (GCLs) do not have asset-level project management (PM) support.

The goal is to ensure excellent physician engagement experiences for external experts and internal stakeholders through well-organized planning and execution.

It is important to ensure that interactions with AbbVie are positive and seamless. The Operations Manager will provide dedicated project management support for EE initiatives, including advisory boards and HCP consultations (small groups and 1:1s).

The ideal candidate will be collaborative and enjoy working in a high-energy, cross functional environment. Key attributes would include the ability to manage complexity (i.e., problem-solver), wear many hats (manage diverse stakeholders), and be a connector and inclusive people person overall. A technical mindset and an analytical approach to problem-solving will be highly valued, enabling the PM to utilize data and technical tools for enhanced project outcomes.

In this role, responsibilities will include:

External Expert Consulting plan: Develop an EE consulting plan across stakeholder groups, utilizing analytical insights to drive strategic engagement. Submit consulting plans in the iHub system and get approval. Submit revisions to consulting plans in iHub as needed.

External Expert database: Maintain and update EE engagement databases based on stakeholder inputs. Over time, help advise EE participation based on tracking data, including previous time to execute contracts, exception requests from certain institutions, etc.

Meeting Content Development: Support stakeholder efforts to develop RFPs and select appropriate vendors for content development. Submit vendor Purchase Order (PO) requests on behalf of the stakeholder after the Statement of Work (SOW) is finalized/approved. Manage internal and external content development processes through frequent updates and tracking meetings with vendors. Ensure stakeholder reviews of internal/vendor-developed content.

Event logistics: Submit event requests through AbbVie's internal system. Request proposals from logistics vendors. Contract with logistics vendors and meet weekly/biweekly to discuss all relevant aspects of the meeting (e.g., Webex, meal, AV, facility). Provide logistics support (final room layout, AV, attendance management, documentation, etc.) as needed.

H1 approval: Manage H1 submissions of meeting materials, including slides, pre-reads, surveys, invitations, etc. Identify H1 approvers (typically 6-10 for global advisory boards) before submission. Submit documents to the H1 system. Communicate with H1 approvers. Communicate with content owners regarding revisions and facilitate alignment processes. Submit the final documents to H1 before the event.

EE Consultant contracts: Submit requests and monitor the status of contracts for each EE who has confirmed participation with a GCL. Ensure responsive communication with the External Expert, keeping the GCL informed. Address HQ/affiliate questions regarding the contract for any EE. Meet with the Central Consultancy Group (CCG) weekly to ensure progress. Conduct ad hoc meetings with account management, compliance, events logistics, etc., to address contracting issues.

Activity closing and payments: Submit all main room and green room attendees to the Smartsheet for approval. Submit all documentation for meeting closing by CCG. Address payment inquiries/issues with CCG regularly.

PCS Advisory Board Additional Responsibilities include:

  • Annual Plan Coordination with PCS Leadership and Central Consultancy Group (CCG)
  • Management of Veeva Process for content related to Annual Plan activities  

Qualifications

Required:

  • Bachelor’s Degree
  • 6+ years of professional experience
  • Experience in Pharmaceutical industry
  • Working knowledge of entering External Engagement (EE) details into iHUB or comparable systems
  • Familiarity in managing Veeva workflows or similar platforms
  • Understanding of Service Contracts and entering requests in SNAPP or comparable intake system
  • Proven ability to maintain high levels of accuracy and efficiency in project tasks while effectively managing multiple deadlines and competing demands
  • Strong collaboration skills with internal teams and external partners and proven ability to ensure timely execution of contracts
  • Effective partnership with cross-functional stakeholders to execute EEs while driving process excellence
  • Highly self-motivated, detailed and results-oriented; able to manage own schedule, work independently, track activities and expenditures
  • Excellent organization and communication skills
  • Proficient in MS Word, Excel, PowerPoint, and Outlook
  • Working knowledge of Smartsheet
  • Comfortable with last-minute requests and changes
  • Can thrive in an environment with some ambiguity
  • Easily able to learn various new programs and processes
  • Proactive learner who looks for ways to improve efficiency  
  • Strategic mindset

 

Preferred:

  • History of working with Senior Leadership
  • Knowledge of AbbVie policies, procedures, culture, and other brand team operations
  • Hematology and solid tumor markets preferred
  • Continuous Improvement and/or Change Management skills
