JOB SUMMARY:
Reporting to the Medical Education Event Manager, this role is supposed to be responsible for identification of the educational needs and clinical issues, based on these, planning and providing high-quality Medical Education Events which contribute to growth the HCPs and AA values in this field.
key duties & responsibilities
Planning & Execution of the medical education events
- Develop the strategy of medical education activities at CoEs* to upskill HCPs to bring optimal patient outcome which will lead to help grow AA business. *Center of Excellence.
- Collaborate with the internal/external stakeholders and collect the insights from them.
- Analize the insights and internal data to identify the latest educational needs and clinical issues.
- Plan and implement various AMI Medical education Events based on the latest educational needs or clinical issues.
- Establish and update the index for educational effectiveness and verify them on a regular basis.
- Contribute to improve other AMI’s contents or activities by feedback our insight collection.
- Contribute to putting our educational contents into our trainee’s practice through the collaboration with internal/external stakeholders.
Leadership
- Perform the leadership to develop and motivate internal/external stakeholders (& 3rd party vendors).
- Stimulate the team member’s growth.
Operation & Management of the medical education events
- Identify, select and manage outsourced partner and supplier relationships such as travel agency, event management company, stand builders, etc.
- Project manage the Events within the allocated budgets, including:
- Schedule and facilitate planning meetings with internal customers, outsourced partners and suppliers to ensure project milestones are met.
- Manage on-site logistics for Events, including staff briefing, booth and venue set up and activities, staffing schedule, audio visual set up and speaker’s logistics.
- Ensure all Events comply with Allergan and external industry governance bodies legal and ethical requirements.
Budget Management & Logistics
- Closely working with Event Manager, use an innovative approach to manage Events within budget, but stretching that budget to deliver premium Events. Ensure invoices for the FA Events are processed on a monthly basis.
- Track expenses against budget and reporting variations monthly.
- Submit accruals and event (PO) order status to FP&A Coordinator monthly in line with Finance deadline.
- Manage or maintain the training environment of each CoEs.
Administrations
- Ensure Events and sponsorships are uploaded, with all relevant documentation, into internal system to ensure timely review and approval.
- Producing Monthly training Budget report, to present to your manager
- Producing Weekly report that demonstrates training is being delivered to meet the service standards that have been
agreed to - if not possible to provide a planned action to rectify the situation in a timely fashion
- Other ad hoc duties such as administrative duties, as requested.
Allergan compliance policy
- Ensure Events are compliant with Allergan compliance policies and Fair competition code.
- Ensure HCP/Trainers consultancy agreements are renewed in a required term
Quality
- Report any adverse event within 24 hours as per Allergan’s policies and procedures.
- Support Allergan’s Quality Management System and internal auditing processes.
Workplace Health & Safety
- Proactively participate in Allergan’s WHS programs, adhere to policies and promote a safe work environment at all times.
JOB REQUIREMENTS
Qualifications
- Successful completion of an Event Management Certificate or Diploma is desirable
- Minimum of 5 years’ experience in event/project management
- Experience within the pharmaceutical industry and/or within a sales environment is desirable
- Knowledge of Salesforce and Veeva system is desirable.
Skills and Abilities
- Professional written and verbal communication skills.
- Effective negotiation and analytical skills.
- Ability to manage multiple projects that are deadline oriented and be flexible with changing tasks.
- Advanced Japanese/ Intermediate English capability (able to read scientific literature)
- Intermediate skills in Microsoft Word, Excel, PowerPoint, Outlook.
- Demonstrated experience in managing promotional budget.
- Flexibility to travel interstate, when required.
