Job Description

Purpose

Provide support to the dept utilizing multiple software platforms with purpose of entering and maintaining accurate records within MAXIMO, Cognos, SAP and KRONOS. Also Provide front line audit support as requested. Perform Administrative duties for Section Managers and Directors across multiple Departments.

Responsibilities

  • Spare Parts & Inventory Control - Maintain accurate inventory levels of MRO and spare parts within MAXIMO and SAP. Performing cycle counts and reconcile inventory discrepancies in a timely manner. Ensure proper storage, labeling, and organization of all materials.

 

  • Parts Issuance & Kitting - Issue parts against maintenance work orders in alignment with system requirements. Kit and stage materials to support planned and scheduled maintenance activities. Coordinate with maintenance teams to ensure material readiness and availability.

 

  • Procurement & Replenishment - Initiate purchase requisitions for spare parts and consumables as required. Monitor min/max inventory levels and reorder points to prevent stockouts. Coordinate with procurement teams and vendors to support timely material delivery.

 

  • MAXIMO & SAP Transactions - Execute inventory transactions, including receipts, issues, transfers, and adjustments. Maintain accurate item master data and stock location records. Ensure data accuracy and consistency across MAXIMO and SAP systems.

 

  • Work Order Material Support - Align parts availability with maintenance work order requirements. Update material usage within work orders to ensure accurate tracking. Ensure proper work order closure by maintaining complete and accurate material traceability.

 

  • Inventory Reporting & Tracking - Generate reports on inventory levels, material usage, and reorder status. Track critical spare parts and analyze consumption trends. Support internal and external audits through accurate inventory documentation.

 

  • Vendor & Material Data Maintenance - Maintain material specifications and vendor data within SAP. Submit and monitor DSP requests for material and data updates. Review and process EMS excursion reports in accordance with procedures.

Qualifications

  • High School diploma or equivalent. Some college preferred.
  • 3+ years of MAXIMO and SAP experience
  • 3+ years Administrative experience
  • Advanced knowledge of Microsoft Office Suite, 365, Visio, One Note, Teams and Outlook.

Preferred:

  • Experience in manufacturing within pharmaceutical, medical device, biotechnology and food industry highly desirable
  • Exposure to quality systems (e.g., Veeva)
  • Familiarity with MRO spare parts and maintenance workflows
  • Experience with cGMP highly desirable
