Job Description

The Senior HR Operations Specialist is responsible for providing functional expertise including addressing redirected or escalated complex inquiries related to HR services administration and processes. Closely collaborates with the HR Service Centers, BHR’s, Payroll, COE experts as well as external vendor partners regarding HR service delivery excellence efforts.

Accountable of requests to ensure that escalations and projects are completed within sustainable solutions and within appropriate timelines. In summary, assure the services, processes, new employees’ journey, are satisfactory at the level expected.

Responsibilities:

  • Act as subject matter expert for HR processes by documenting, analyzing, and identifying process improvement opportunities related to benefits, and HR programs. Primary liaison with our HR business partners ensuring the alignment of HR Operations support to business HR strategies by quickly responds to customer escalations and address complex inquiries with functional expertise to solve the same. Conduct root cause analysis to determine possible solutions, identify process/documentation improvements if applicable. This includes effective communication across multiple groups internally and externally (service vendors) to ensure execution of business results. Manage to consistently meet our internal customer (employee, management, and BHRs) expectations by leveraging HR Operations/Service Centers and related Shared Services organizations (Finance/Payroll and BTS partnerships).
  • Monitor if key service level agreements, quality targets and key performance indicators with external benefits vendors and or Service Centers are met and manage corrective actions in case of discrepancies. Lead several benefits responsibilities as follows: address escalations in insurance services, pharmacy services, vision and legal plan, and prior authorizations, manage complaints, and coordinate communication of SPDs and SBCs. Responsible for the Benefits expenses tracking against current year plan and reconciliation. Manage the processing of purchase orders and invoices for payment. Prepare and deliver detailed information reports for pricing analysis and strategy; and for OPEB analysis and RDS review. Assist in the translation and adjustments of Summary Annual Reports (SARs) letters. Update communication materials in the Benefits Center portal and HR Portal accordingly.
  • Administer leave process and audits leave data to assure the required entries are processed accordingly. Monitor long term disability cases eligibility, retirement processes and employee’s deaths claim to corresponding suppliers for respective benefits eligibility. Provide support to the employee or retirees survivors/beneficiaries on life insurance benefits. Manage escalations and complaints related to pension plans, ensure updates in the Benefits Center and HR portal; and oversee the preparation and translation of company contribution letters for various contribution options. Also, review and translate educational materials.
  • Responsible for employee New Hire Induction process which includes the administration activities of I-9 , ASUME and contract conversion processes, , maintaining compliance in employee records, and benefits enrollment process. Coordinate the open enrollment process and facilitate communications through the corresponding channels and HR portal. Review and approve employee open enrollment letters. Administer all employee file related activities in accordance with AbbVie policies and retention schedules.
  • Lead HR assigned projects, that could include data quality audits, financial audits, creation of job aids, vendor partner case analysis and follow-up, process mapping, portal data review and updates, and continuous improvement activities focused on increasing efficiency of processes. Related to other general employee services: manage legal requests as subpoenas orders and preparation of ad-hoc verification letters for government agencies, banks, etc.
  • Conform to EHS management system requirements and compliance obligations, promote continuous improvement, and consider EHS aspects during the design and change process. Comply with all EHS procedures and policies including incident reporting, use of PPE, waste management and disposal, and any other program applicable according to the position duties.

 

Significant Work Activities:

Continuous sitting for prolonged periods (more than 2 consecutive hours in an 8 hr day) is required

Frequent to continuous computer usage (greater or equal to 50% of the workday) is required


Qualifications

  • Bachelor’s degree required in: Business Administration, Human Resources or Finance.
  • Minimum 6 years of experience in HR and or HR Operations services support (preferred in a complex environment such as Manufacturing industry) as described below:
    • Experience in leave of absences administration and benefits processes and in HR and Payroll systems (as Workday, Taleo, euHReka) and related data management and vendor management systems.
    • Previous experience managing employee relations
  • Minimum of 2 years of experience in a customer service environment, expertise in process processing and HR services.
  •  Able to manage multiple priorities and ensure stakeholder expectations are met.
  • Strong analytical, technical and computer skills, and strong problem-solving skills to understand data gaps and roots of source data.
  • Experience in effective stakeholder management (internal and external partners) with a bias towards delivering superior customer service and transform those requirements into system and HR services solutions. Continuous improvement of mindset is key.
  • Excellent verbal and written communication skills. Fluent in English and Spanish.
  • Maintain the highest standards for confidentiality and privacy of HR data.
