Purpose: Provide advanced administrative support to the Vice President of Product Development, Science & Technology (PDS&T) Biologics. PDS&T Biologics advances novel biologic therapeutics through scientific innovation, product and process development, and global cross-functional collaboration. The role spans multiple global locations, including Worcester, MA; Waltham, MA; Irvine, CA; Singapore; Puerto Rico; and France, supporting seamless operations for a multi-site, multicultural leadership team.
Responsibilities:
- Serve as the primary administrative liaison for the Vice President, PDS&T Biologics, ensuring robust support across all managed sites.
- Coordinate and align administrative functions for teams in Worcester, Waltham, Irvine, Singapore, Puerto Rico, and France.
- Manage complex scheduling and communications, accommodating multiple time zones and international stakeholders.
- Handle travel planning for both domestic and international trips, including itinerary creation and compliance with relevant travel policies.
- Facilitate virtual meetings, teleconferences, and WebEx/video conferencing; support technical setup as needed.
- Prepare and edit correspondence, presentations, and business documents from source materials, with sensitivity to cross-cultural nuances.
- Plan and support leadership visits, events, and meetings at various global locations.
- Maintain confidentiality and professionalism while managing sensitive information.
- Ensure compliance with company and legal guidelines in file management and purchasing.
- Compile meeting materials and coordinate logistics for cross-site, global functions.
- Address other core administrative duties (see original responsibilities), with specific attention to global/international coordination.
- Minimum 3 years of administrative assistant experience; high school diploma or equivalent.
- Experience supporting VP-level or equivalent senior leader.
- Intermediate to advanced proficiency in Microsoft Office Suite, Outlook, Adobe Acrobat; knowledge of business processes.
- Able to work efficiently with limited supervision; team-oriented and adaptable.
- Professional demeanor; maintains confidentiality.
- Builds relationships with cross-functional teams.
Preferred Qualifications:
- Experience supporting teams or executives in a global/multi-site environment.
- Demonstrated ability to manage scheduling and communications across multiple time zones.
- Experience with international travel coordination.
- Skills in virtual collaboration and familiarity with remote conferencing/meeting platforms.
- Cultural adaptability and experience facilitating cross-cultural communication.

The compensation range described below is the range of possible base pay compensation that the Company believes in good faith it will pay for this role at the time of this posting based on the job grade for this position. Individual compensation paid within this range will depend on many factors including geographic location, and we may ultimately pay more or less than the posted range. This range may be modified in the future.

This job is eligible to participate in our short-term incentive programs.
