Under the supervision of the Private Healthcare & Strategic Operations, Head, the project coordinator is responsible for providing support to the the Pharmacy & Trade & Private Healthcare department to support and prioritize business activities via the generation of finance and contractual documentation in adherence to stringent corporate Standard Operating Procedures (SOPs) and guidelines. The coordinator will be entrusted to anticipate and resolve issues that may arise, and effectively prioritize projects and requests to ensure the department is effectively supported.
Key responsibilities
- Coordinate initiation of purchase orders and invoices (in SAP data management and other procure-to-pay systems) and track purchase orders (PO) and expenditures, by individual therapeutic areas, within primary budget tracker if required.
- Be relied upon as the subject matter expert in relation to vendor screening (Third Party Compliance processes), master service agreements (MSAs) and Statements of Work (SOWs) within the Icertis and SAP platforms. This includes ensuring that Compliance, Procurement and Legal guidelines are met.
- Assist managers with stakeholder communications regarding product launches, product changes, price increases, backorders, etc.
- Support managers in preparing booth, marketing collateral and AbbVie booth attendees are in place for each pharmacy conference sponsored.
- Support the Hospital Pharmacy Manager with the administrative aspects of our Group Purchasing Organizations (GPO) contracts. Laisse with internal stakeholders to gather the necessary information as per timelines.
- Upload materials in Veeva Vault Promo Mats system for medical/regulatory approvals if required.
- Assist with onboarding new team members as required.
- Review budgets each month for the purpose of managing open POs and accurate accruals.
- Ensure all project documentation is saved in department’s SharePoint site and upload relevant MSAs/SOPs within Icertis.
- Support the Pharmacy & Trade & Private Healthcare head-office and field team members with various ad hoc projects and administrative activities.
- Be the lead on certification programs that pharmacists are required to complete before they can purchase/dispense specific products.
- Attend and participate in department meetings, information sessions, and liaise with cross-functional teams to enhance/maintain corporate awareness and share best practices.
- Support the other department coordinators as required.
Experience / Education required
- Three to five years of experience in a senior administrative role.
- Knowledge of pharmaceutical industry.
Essential skills and abilities
- Ability to manage multiple projects at a given time.
- Strong financial expertise to be able to make sound business judgments.
- Able to function in a fast-paced environment and work well under stress (driven by payer submission timelines).
- Adaptability/flexibility to help with urgent situations and priorities
- Well-organized and detail-oriented with high quality standards.
- Effective team player.
- Diplomatic and mature when dealing with many different internal and external partners
- Familiar with Microsoft Office Suite (Word, Excel and PowerPoint and Outlook) and comfortable working with Internet.
- Knowledge of SAP and Icertis systems is an asset.
- Ability to take key actions and demonstrate behavioral anchors that support AbbVie’s cultural descriptors and leadership attributes.
- Effectively manage confidential pricing information
