Job Description

AbbVie is seeking a Marketing Operations Coordinator to work within our medical aesthetics business, Allergan Aesthetics. This is a fantastic opportunity to build or grow your marketing career in a fast-paced, collaborative environment, supporting a passionate team that brings innovative aesthetic products to healthcare professionals across Australia. You'll play a key role in keeping our marketing engine running smoothly — coordinating campaigns, managing events and materials, supporting our commercial teams, and helping deliver an exceptional experience across all touchpoints.

Whether you're early in your marketing career or looking to deepen your expertise in pharmaceutical/healthcare marketing, we'd love to hear from you!

KEY DUTIES AND RESPONSIBILITIES

  • Coordinating meetings, events, and logistics (on-site and off-site), ensuring smooth execution from planning to delivery
  • Supporting the development and review of promotional materials in partnership with brand leads and agencies
  • Managing the end-to-end process for print materials — from ordering and inventory management to withdrawal of expired items
  • Supporting CRM management, including data quality audits and system updates
  • Processing purchase orders, invoices, and expense documentation in line with company policy
  • Liaising with shared services, agencies, and internal stakeholders to keep projects moving
  • Supporting the promotional review and approval process using our digital content management platform (training provided)
  • Assisting with compliance documentation and financial administration for events and activities
  • Report any adverse event within 24 hours as per Allergan’s policies and procedures.
  • Proactively participate in AbbVie’s WHS programs, adhere to policies and always promote a safe work environment.
  • Adhere to Allergan’s / AbbVie’s internal codes of conduct and compliance processes.
  • Other ad hoc duties such as administrative duties, as requested.

Qualifications

  • TAFE or equivalent training in secretarial/office management is desirable.
  • Extensive experience in administration within pharmaceutical or healthcare fields (at least 4 years).
  • Event management experience and/or Diploma in Marketing are desirable.
  • Numeracy and basic procurement skills.
  • Excellent verbal and written communication skills.
  • Dynamic and solutions focused.
  • Attention to detail and fast learner.
  • Highly organised with a reputation for accountability, prioritisation, delivery, and proactivity.
  • Demonstrated highly developed and agile prioritisation skills.
  • Proficient IT skills including Microsoft Office (Word, Excel, PowerPoint, Teams, OneDrive), CTE/Concur, VEEVA Promomats, and e-wizard.

Flexibility and Availability: In line with Australia’s 'Right to Disconnect' legislation, we recognise and respect employees' right to refuse contact outside of their working hours, unless such refusal is deemed unreasonable. As we operate in an international, matrixed environment, there may be occasions where your role requires participation in business meetings outside of standard hours. We value and support flexibility and appreciate your willingness to occasionally accommodate these requests to ensure effective collaboration and communication within our global team.
