Job Description

I. Admin Support to Legal and OEC department heads
- Arranging department heads' business travels, including accommodation, tickets, visa application and itinerary and so on.
- Handling department heads' expense report.
- Managing department heads' business calendar, including meeting invitaitons and meeting conflicts coordination.
- Establishing a good communication bridge with stakeholders.II Admin Support to the Legal and OEC Departments                        
- Being responsible for managing these two departments meetings including managing logistics, developing meeting agenda, meeting invitation, arranging accommodation, transportation and meals ect.
- Reception Worldwide Visitors - helping visa application, providing professional and comprehensive logistics support for visitors.            
- Managing and processing these two departments' vendors, including vendor set up and onboarding, contracts and payment.
- Support Legal Counsels with external counsel management.                                                  
- Pre-checking documents which need Legal or OEC Department Heads' approval, and ensure every supporting documents are attached, and contents can meet compliance requirement.                                                                
 - Helping Legal & OEC team members' business travel planning and booking.                                                              
 - Managing and maintaining department sharefolder and sharepoint.Providing secratery support to Legal & OEC team:                 
 - Internal policies, newsletter, training material, presentation material translation, formating, proof reading and filing.                                            
 - Drafting internal communication emails.  
-  Assisting with data analysis.                              
- Internal and external records scanning and filing.                                   Providing paralegal support to legal department:                     
 - Under the supervision of legal counsels, monitor legislation and enforcement updates.
- Conduct basic research under supervision of legal team members.
- Support on company contract template translation, update, filing and contract template check list drafting.
- Support counsels on corporate secretary matters, including maintaining company licenses, POA ect.
-  Assist Legal counsels for litigation document coordination and notarization.
- Prepare Legal team meeting minutes.


Qualifications

Not required, one or two years working experience is a plus. Fluent in both spoken and written EnglishSelf motivated, good communication skill, ability and willingness to learn, and detail oriantated, good skill with words, Powerpoint and Excel.
