Job Description

An Event Planner will be responsible for conceptualizing, planning, and executing various events, ensuring a memorable and seamless experience for clients.

The Event Planner ensures a clear event planning process development, optimization, and continuous improvement.

This individual will be responsible for vendor selection and management, client and stakeholder relationship management and budget planning and reconciliation.

​Responsibilities:

  • Stay updated on industry trends, emerging technologies, and creative event concepts
  • Manage all aspects of an event from pre-planning, determining resource needs, pre-event marketing, and on-site coordination, to post event follow up
  • Collaborate with clients to understand their vision, goals, and preferences for the event
  • Handle client inquiries, changes, and concerns throughout the planning process and during events
  • Develop effective and collaborative relationships with internal and external stakeholder
  • Prepare all electronic and printed materials and collateral for events and conferences to ensure consistency and accuracy in messaging and branding and obtains necessary approvals before circulation or production.
  • Working collaboratively with Business Owner and creative agencies to ensure brand standards are met and messaging is consistent with brand and business objectives.
  • Maintain standardized event processes and procedures including but not limited to event documentation, standard templates, critical path (work-back schedule), RACIs, project plans, function sheets, de-brief documents, post-event surveys, budget reconciliation, attendee tracking lists, and post event reports.
  • Oversee the selection and negotiation of contracts with vendors
  • Assist in site and vendor selection and negotiating the best possible rates and terms
  • Managing the budget and finances for the event. You will set a budget for each event depending on the needs and requirements.
  • Be in charge of processing invoices and payments and making sure that the event stays within budget.   
  • Tracking expenses and ensuring cost-effectiveness
  • Travel required, approximately 20-40%

Qualifications

Skills: 

  • Intermediate computer skills and proficiency in MS Office suite including Word, Excel, PowerPoint, and Outlook, event planning software and tools
  • Ability to negotiate and manage many ongoing vendor contracts
  • Must be able to perform in a fast-paced, continuously evolving environment
  • Flexibility to work weekends and evening as needed
  • Strong organizational and multitasking abilities
  • Excellent communication and interpersonal skills
  • Ability to craft and communicate responses to inquiries in a time-sensitive manner, escalate issues as necessary, and inform the team of communication status
  • Budget management and negotiation skills Managing all relationships with partners, participants, external vendors, suppliers and agencies.
  • Ability to troubleshoot situations on-site at a program and be comfortable in making decisions on the fly.
  • Passion for creating unique and memorable event experience. 
  • A Creative mindset with a key eye for design, and a passion for the field of Aesthetics is considered an asset. 
  • Experience in coordinating conferences and events nationally is considered an asset. 

Qualifications: 

  • 3 years event planning / coordination.
  • Previous experience with registration and event software required (e.g., Cvent or comparable software). 
  • Bilingualism (English and French) is an asset
  • Previous hotel experience is considered an asset
