Job Description

  • Planning, coordination, organisation, implementation and follow-up of national and international events with internal and external customers (e.g. congresses, workshops, conferences) in compliance with all internal and external guidelines
  • Supporting the further development of virtual and hybrid event formats
  • Planning and coordination of all measures around event-related activities (with internal and external contacts)
  • Coordinating and supervising the travel agency for the travel arrangements of the participants
  • Consideration of the FSA Pharma Code and internal compliance guidelines
  • Control and monitoring of the entire event budget (budget tracking, invoice and cost control of the supported events
  • On-site support and organisation of the events
  • Close cooperation with internal and external stakeholders
  • Research, enquiries, negotiations as well as coordination of third-party suppliers (agencies, hotels etc.)
  • Continuous optimisation of internal processes in close cooperation with Purchasing, Compliance and Finance
  • Preparation and presentation of decision bases for the management team

Qualifications

  • Several years of professional experience in event management, preferably in the research-based pharmaceutical industry
  • Strategic thinking skills, ability to build new processes and policies
  • Strong project management skills
  • Very good ability to interact with senior stakeholders
  • Very good PC skills (MS-Office) and confident in using modern communication tools
  • High level of communication and teamwork skills as well as improvisational talent and decision-making ability
  • Organisational talent, attention to detail, independent working style, high ability to work under pressure, reliability
  • Willingness to travel (approx. 50%)
  • High service mentality
  • Fluent German and English language knowledge
