The Opportunity
This role will be responsible for the coordination and execution of AMI and broader AA events. This role requires collaboration with the cross-functional team to execute innovative and immersive learning opportunities for all injector segments aligned to the AMI curriculum and Allergan Aesthetics strategy. The role is pivotal in ensuring that all AA educational workshops are professionally conducted and efficiently run enhancing the attendee experience, trainer engagement and AA value proposition. The role is expected to adhere to all compliance and regulatory requirements and manage assigned budgets.
Responsibilities
Managing logistics for all educational events that are aligned to the AMI/AA strategy such as AMI workshops, standalone meetings, 3rd part congress workshops, KOL roadshows and cadaver workshops.
Supporting the Events Manager to coordinate the events calendar and provide internal and external stakeholders with event status updates.
Coordinating all aspects of event logistics including but not limited to;
Venue selection
Catering requirements
Audiovisual requirements
Travel arrangements for faculty and nurse trainers, KOLs & employees
Resuscitation Doctor
Communications to both employees, KOL, trainers, and attendees
Managing budget allocation
Administer Pre- and Post- attendance surveys, compile feedback
Cross functional collaboration with AMI, medical, marketing and in field teams.
Liaising with AMI Faculty and Nurse trainers to support relevant activities.
Lead and/or support on-site logistics for CoE Events, including staff briefings, audio visual set up and speaker logistics.
Budget
Processing of invoices related to educational workshops every month.
Tracking expenses against agreed budget.
Submitting accruals to AMI Coordinator by end of each month.
Allergan compliance policy, Medicines Australia & MTAA codes
Ensuring educational events are compliant with Allergan Aesthetics compliance policies, Medicines Australia & MTAA Codes.
Team Support
Providing as-needed or general administrative support to other AMI team members as required.
Quality
Report any adverse event within 24 hours as per Allergan’s policies and procedures.
Supporting Allergan’s Quality Management System and internal auditing processes.
Workplace Health & Safety
Proactively participate in Allergan’s WHS programs, adhere to policies and promote a safe work environment at all times.
Administration
Producing Monthly training Budget report, to present to your manager
Producing Weekly report that demonstrates training is being delivered to meet the service standards that have been
agreed to - if not possible to provide a planned action to rectify th
Qualifications
Successful completion of an Administrative Certificate or Diploma is desirable
Demonstrated success in an event coordinators role or administrative role
Experience within the pharmaceutical industry and / or within a sales environment is desirable
Skills and Abilities
Good budgeting experience, with strong numeracy skills
Intermediate skills in Microsoft Word, Excel, PowerPoint and Outlook
Knowledge of Medicines Australia & MTAA codes
Veeva & SAP skills desirable
Ability to work weekends and travel interstate when required
