The Communications Specialist will be responsible for developing and conducting key communication and administrative activities that are in alignment with and reinforce the department objectives and goals. This includes calendar, budget management and supporting key departmental meetings, presentations, and communications vehicles. The Communication Specialist will also serve as project manager assistant for department initiatives and tactics. The position will collaborate with employees at all levels of the organization and outside vendors on key communications activities coming from the department.
Responsibilities:
- Performs key communication and administrative functions of the manager: phone communications, calendar management, scheduling travel, managing correspondence, and scheduling couriers, processing expense reports, meeting/event planning, creating or modifying business documents, preparing presentations from source materials, handling teleconference and AV/communication set ups, acting as a liaison for remote access issues.
- Coordinates and maintains departmental files, as assigned, in compliance with corporate and government regulations
- Follows purchasing and regulation procedures, Corporate Security and Privacy Rules, Corporate Branding Guidelines
- Uses and understands Microsoft Office Suite and other business specific software including the Corporate Travel web site and Employee performance management (as applicable)
- Coordinates new employee office a set-ups and on-boarding
- Manages overall tracking of budget, including providing support for tracking budget expenditures, purchasing requests, supplier deliverables and tracking metrics through the established reporting processes
- Assists, when needed, in the development and implementation of the corporate brand plan including roll out of Corporate, Global, and site communications, while managing media channels directly to support the objectives established. Work will include content development and placement.
- Supports the development of key departmental communications, such as emergency messaging and organizational announcements, and assists in the management of project trackers, distribution of requests, and internal and/or external content or milestone calendars. As calendar owner this role is the gatekeeper for internal stakeholder alignment with regards to messaging requests and events timing.
- Assists in coordinating departmental meetings and special events including logistics, audio-visual needs, speaker line-up and supports with presentation development
- Assists in the management and deployment of brand standards on several applications (tradeshows, stationary and communication documents, promotional materials, among others.
- Assists when needed in the development and management of emergency communications, brand tools, resources, and materials
- Supports the donations and Sponsorship processing and tracking for all Puerto Rico Sites.
- Works with the community and corporate event coordination for all Puerto Rico Sites.
Qualifications:
- Bachelor's Degree in Business, Communications or related field.
- Minimum of three years relevant business experience is required.
- Experience directly in the healthcare industry and/or in Advertising Agencies supporting the healthcare industry is strongly preferred.
- Strong written/verbal communication skills.
- Proficient with Microsoft Office, SharePoint, Adobe Photoshop, and Dreamweaver
- Quantitative and qualitative analytical skills.
- Strong prioritization, time management and organizational skills; ability to manage multiple deadlines and work effectively as a part of a team.

The compensation range described below is the range of possible base pay compensation that the Company believes in good faith it will pay for this role at the time of this posting based on the job grade for this position. Individual compensation paid within this range will depend on many factors including geographic location, and we may ultimately pay more or less than the posted range. This range may be modified in the future.

This job is eligible to participate in our short-term incentive programs.
