Join AbbVie as our Central Services Manager!

Are you an experienced leader ready to make a real impact? As Central Services Manager, you’ll head a team of administrative and compliance specialists, ensuring the seamless day-to-day running of office operations and supporting key administrative, logistical, and contract management functions in compliance with local and global policies.   You will work closely with the Affiliate Leadership Team.  

 

What You’ll Do:

 

Directly Responsible for Office Management including the following:

  • Facility Management such as Security, Access control, Café Services, Meeting rooms, building maintenance and repairs, utility management etc. as required to ensure the smooth running of office operations on a day-to-day basis
  • Implement and maintain local office policies and procedures within the affiliate
  • Efficient management of facility related vendors to include negotiating contracts, raising POs and approval of invoices.
  • Affiliate EHS Co-ordinator – ensure all aspects of relevant Environment, Health & Safety policies and practices are carried out effectively (E.g. update of Health & Safety Statement and Risk Assessment, Fleet Management)
  • Lead Safety Representative for Affiliate

 

Ensures the day-to-day operations and applicable processes of assistants and coordinators are performed accurately, consistently, and efficiently in accordance with established compliance requirements.  Manages and leads the Central Services Team with responsibility for:

 

Lead and manage internal and external meetings & events:

  • Key partner to General Manager with responsibility for project Leadership for internal events and meetings. 
  • Abbvie Initiated Events: Oversee the organisation of administrative and logistical arrangements for AbbVie-initiated events, coordinating with production agencies or other vendors. Responsibilities include preparing contract templates, obtaining signatures, opening PO/ACR, managing invoices, and coordinating onsite support.

 

Responsible for Speaker Engagement:

  • Local Consultancy Contracts: Manage local consultancy contracts, ensuring all processes are efficiently handled according to local policies.

 

Manage Event Sponsorships:

  • Local Event Sponsorships: Ensuring adherence to local and global policies. Oversee team who manage the processes, preparing templates, obtaining necessary signatures, collecting proof from business owners, and initiating invoice payments.
  • Individual Sponsorships: Facilitate coordination of individual sponsorships in compliance with policies.

 

Responsible for Affiliate Administration:

  • Marketing Administration: Oversee team and ensure support provided for Brand Team Meetings and materials inventory, tracking, and distribution
  • Financial Management: Responsible for ensuring timely submission of expenses; budget management and tracking
  • Vendor Management: Oversee vendor creation, assisting business owners with evaluations, verifying bank details, and updating vendor list.
  • Contract Database Management:  Maintain and manage the contract database, ensuring timely alerts for incomplete information or approaching contract end dates.
  • Invoice Processing: Handle and approve invoices related to non-OEC activities such as external affairs vendors, market research, digital, translations, creative, and printing.

 

Manage team members responsible for compliance coordination within the affiliate.

 


Qualifications

  • Minimum 5 years’ senior-level experience with proven team management and leadership skills.
  • Strong understanding of applicable policies and consultancy/vendor sponsorship processes.
  • Excellent organizational skills, system proficiency, attention to detail, and stakeholder communication.
  • Relevant third-level qualification preferred.
