The purpose of this role is to ensure the Clinical Sciences (CS) office in Romania is well-functioning, including the effective management of multiple vendors and suppliers for all services and amenities.
This individual is responsible for overseeing the CS Junior Administrative Assistant in executing their role and responsibilities and plays a key role in resolving any issues escalated to them relating to all aspects of the office and for coordinating the onboarding of new employees.
Furthermore, this role actively supports the Site Operations Manager in activities related to culture, community, learning and development via strong communications within the CS Romania site, contributions to cultural initiatives and by building a strong partnership between CS and the Romania affiliate to achieve an exceptional work environment for all CS employees located in Romania.
The role will also partner closely with the CS Administrative Professionals team to leverage capabilities that will enable the CS Romania team to have access to all resources and tools for them to work effectively.
This role reports into the Director of International Safety Strategy & Capability.
- Oversees the CS Junior Administrative Assistant in executing their role and responsibilities
- Main liaison between IT and Finance for invoice management and technical issues.
- Primary coordinator for onboarding new employees, including Buddy program and offboarding departing employees.
- Creates a strong connection between the Romanian Affiliate and CS teams through championing corporate initiatives that engage the CS teams e.g. Corporate Social Responsibility, EED&I, Vitality initiatives etc.
- Supports CS Romania communications strategy by working in close partnership with the Site Operations Manager and the Director of International Safety Strategy & Capability.
- Supports Site Operations Manager with the CS Romania Culture Council including e.g. activities associated with maintaining momentum of the group and resulting initiatives.
- Support Site Operations Manager with CS Romania specific learning and development initiatives.
- Responsible for community forum meetings.
- Supports Director of International Safety Strategy & Capability in all-staff meetings and other CS team meeting logistics, CS leadership visits and external meetings within Romania.
- Member of the Administrative professionals team and may support other administrative requests via the CS admin request portal.
Required Education:
- Minimum High school diploma
Preferred Education:
- Secondary education in business administration or Bachelor degree
Required Experience/Competencies:
- 3 years administrative support; pharmaceutical experience preferred
- Strong planning and organizational skills, including the organization of site-wide events
- Strong communication skills
- Excellent attention to detail
- Ability to manage third party suppliers
- Proficient with MS office, including SharePoint and PowerPoint
- Ability to work independently and as part of a matrix environment
- Ability to work across different cultures

Where We Work
Role is primarily site- or office-based but can occasionally be performed remotely. Employees who are site/office-based and can occasionally perform their role virtually work both in the office and remotely*, following the policies and regulations in place at their location. US Employees must be in the office on Tuesday, Wednesday, and Thursday with flexibility to work remotely on Mondays and Fridays. Three days in the office is the minimum; some individuals or teams may require more in-office days due to meetings, business/project needs or their role.
