Executive Secretary

Providing high quality, speedy, accurate and proactive administrative support to the General Manager, AA Taiwan & Hong Kong, as well as other senior leaders as assigned.

This role will report directly to the General Manager, AA Taiwan & Hong Kong.

  • Providing general administrative support to GM 
  • Coordinating diary arrangements and business meetings on behalf of GM
  • Responding to general enquiries and re-routing urgent matters for attention in GMs’ absence
  • Prepare and manage correspondences and collation of reports/documents to meet business timeline, as required
  • Preparing agendas and recording and distributing minutes of meetings, in particular Management Meeting
  • Project leadership and coordination
  • Involve in organizing, coordinating, and hosting a variety of both local and overseas meetings, corporate events, as and when called upon
  • Selective expatriate support and administration
  • Filing: maintain a systematic filing system
  • Coordinating travel arrangements and expenses claims
  • Serve as the point person for office manager duties including Maintenance, Mailing, Supplies, Equipment, Bills, Errands and Shopping
  • Maintain the office condition and arrange necessary repairs
  • Partner with HR to update and maintain office policies as necessary
  • Coordinate with IT department on all office equipment
  • Address employees’ queries regarding office management issues (e.g., stationery, hardware and travel arrangements)
  • Liaise with facility management vendors, including cleaning, catering and security services
  • Any other duties assigned


Education and Experience

  • Successful completion of Higher School certificate plus Certificate or Diploma in Business Administration
  • Minimum of 5 years’ experience within similar administrative roles, with at least 3 years’ experience providing support to senior management
  • Experience within the pharmaceutical industry and / or within a sales and marketing environment is desirable

  • Professional written and verbal communication skills, with a good understanding of business etiquette
  • Excellent interpersonal skills, with the ability to liaise effectively at all levels within an organization
  • Excellent time management skills, with the ability to work without close supervision
  • Ability to speedily multi-task, prioritize, meticulous accuracy and work under pressure to ensure on-time delivery
  • Strong computer literacy with Advanced skills in Microsoft Word, PowerPoint, Excel and Outlook
  • Detail focused with a keen attention to 1st time accuracy
  • Working at speed/fast paced dynamic environment
  • Ability to work in a position of trust with access to highly confidential information
