Job Description:

The STAR Program Supervisor is responsible for leading AbbVie’s Specialized Temporary Administrative Resource (STAR) Program. This role directly manages a team of Executive Assistants who provide temporary support for AbbVie’s C-Suite and other Executives on an assignment basis.  In addition, the STAR Program Supervisor is responsible for assignment intake, staffing of open assignments, assignment onboarding, assignment feedback, team development, and coordination of contract admin resources to meet other business needs, as appropriate. 

Strong stakeholder management is required to interpret the needs of the business and appropriately resource assignments. The STAR Program Supervisor needs to demonstrate comfort working in ambiguous situations with senior leaders and maintain composure and professional maturity with the changing needs of the business.  In addition, the STAR Program Supervisor plays a liaison between TotalTalent (AbbVie’s contingent workforce solution) and the business to ensure only the most qualified contract administrative assistants are utilized for assignments when STAR support is unavailable. This process will include Fieldglass worker request submission, candidate screening and selection, obtaining and tracking internal feedback on assignment performance.

Core Job Responsibilities:

  • Day to day STAR Program people and operations management
  • Prioritize, schedule and assign STAR resources whose role is to provide interim admin support to Suite Executives and all others, based on availability
  • Maintain and utilize the STAR EMS Management database used to coordinate and schedule STAR and Contract Admin interim administrative assignments
  • Marketing – monthly program update and periodic participation in internal vendor exhibits and fairs
  • Manage monthly billing and submit reports to finance
  • Screening of resumes, conduct candidate interviews and place contractors as needed
  • Process all aspects of Contract Admin onboarding and offboarding, logistics, equipment, weekly timecard approval, and end of assignment contract closing
  • Works independently under the general direction of the Director of Human Capital Management
  • Directly manages team of 3-5 executive assistants, providing coaching, development, and performance feedback
  • Trains and supervises team of 15-25 contractors who are deployed on assignment with key business leaders
  • Holds monthly staff meetings with direct staff

Skills and Experience:

  • Three to five years supervisory or relevant work experience
  • Knowledgeable of HR policies and practices
  • Experience recruiting - the ability to partner with the business to understand position requirements, post, source, interview and select candidates for placement into Administrative Assistant roles across the organization
  • Ability to navigate matrix organizations and build strong relationships with Executive Assistants and business leaders
  • Ability to anticipate the needs of executive level management and take initiative to resolve issues with an appropriate level of urgency
  • Advanced knowledge of the Microsoft Office Suite, content management systems (e.g. EMS, SharePoint), travel management and expense reporting, and event coordination.
  • A.A.S or bachelor’s degree preferred
