The Senior Specialist, Marketing Operations Systems supports the management of Advertising & Promotional materials as they pertain to the U.S. Commercial Material Review process and Veeva PromoMats.

The Senior Specialist, Marketing Operations Systems ensures:

  • Facilitates and executes solutions associated with Veeva PromoMats system for:
    • Advertising materials
    • Promotional materials
    • Sales Training materials
    • Promotional Labeling materials
  • Proactively solves issues with system processes
    • Consults with the bridge team on matters of system enhancements and bug fixes
    • Generates system reports and openly communicates reports with her team members and direct manager
    • SME and system admin for all aspects of the Veeva PromoMats system.

Senior Specialist, Marketing Operations Systems:  

  • Mitigates risk to the organization by establishing, maintaining and enforcing processes and policies that ensure advertising and promotional materials are compliant with AbbVie Quality Policies
  • Provides support to U.S. Commercial, Medical reviewers, Regulatory reviewers and other key stakeholders to ensure the appropriate and timely review of all promotional, non-promotional materials

The Senior Specialist, Marketing Operations Systems serves as an SME for all team members working within the Material Review Process and Veeva PromoMats.

Key Responsibilities include:

Veeva PromoMats Help Desk support, includes:

  • Troubleshooting Veeva PromoMats system issues
  • Help support for Veeva PromoMats questions
  • Immediate or scheduled training for Veeva PromoMats usage
  • Providing users:
  • ePASS and COMPASS files upon request
  • Veeva PromoMats source files
  • Annotated reference docs
  • Zip reference folders

System admin support, including:

  • User creation
  • User access issues
  • References & Labels
  • Account modifications
  • Metadata corrections
  • Process changes
  • Defect fixes/testing
  • System enhancements
  • System updates

Provide Veeva PromoMats support to product launch teams

Veeva PromoMats Training/Coordination for:

  • Cross-functional teams (ProMO, Marketing, Medical, Regulatory, IT)
  • Collaboration partners (i.e., Genentech)
  • Inventory vendors
  • Production vendors
  • Creative agency partners
  • CBT Working Group for all modules

Provide weekly updates and reports to direct and upper level Manager, including:

  • MedComms Insight reports
  • Medical tasks
  • Training updates
  • US data Warehouse reports
  • Stuck Projects
  • Expiration Exceptions
  • On the spot project status(s) (for specific brand or cross-functional teams)
  • Updates and presentations at team Huddles/staff meetings

Provide Monthly SWARM Core team updates for:

  • Monthly SWARM metrics distribution
  • SWARM report development
  • Agency transparency

As a system SME, participate on and support the following teams:

  • DAM/Content Central
  • The Bridge - Measurements working team
  • Solutions Plus
  • Camp Veeva core team
  • Emmsphere LMS – Assign learning path, Reports, training verification, test module

Key Skills

  • Demonstrates the ability to prioritize and multitask in a fast-paced, rapidly changing environment
  • Maintain a positive, energetic, and engaged attitude and approach to work under times of stress
  • Demonstrate good understanding of how to navigate the Material Review process and strong working knowledge of Veeva PromoMats
  • Demonstrates good knowledge of policies and procedures
  • Demonstrates good understanding of Abbvie cross-functional team organization and brand
  • Understands the Veeva PromoMats priorities, key tactics and timelines

Basic:

  • 5+ years of experience in a Business System Analyst role or equivalent technical role
  • Technical / Application Support / Help Desk support a plus
  • Systems Testing and IT Implementation experience
  • Ability to translate operational needs into process or system improvements.
  • Strong planning and organizational skills are required to successfully multitask, and problem solve in a fast-paced environment.
  • Good interpersonal skills, teamwork, analytical and problem-solving skills.
  • Project management skills required managing constantly changing priorities.

Preferred:

  • Bachelor’s Degree in Business, Science, Computer Science or related
  • Working knowledge of Adobe Acrobat; MS Word, MS Excel, MS PowerPoint and Veeva PromoMats
  • Possesses ability to learn and adapt to other software tools as necessary
  • Knowledge and prior experience with AbbVie products, marketing, and communication or advertising agency experience
  • Experience in pharmaceutical Promotional Material Review Process desirable.
Significant Work Activities: Continuous sitting for prolonged periods (more than 2 consecutive hours in an 8 hour day)
